Using your Personal Information: PEC Energy Team

At Plymouth Energy Community (PEC), we take good care of your personal information. This page explains what information we collect about you, why we collect it, and how we use and protect it when you get Energy Team and Future Fit support.  

Who We Are 

We are a charity that helps people in Plymouth with things like: 

  • Making energy bills more affordable,
  • Keeping homes warmer and healthier,
  • Getting grants or support to improve energy efficiency,
  • Making homes better through retrofit upgrades. 

We are called PEC Trust (also known as Plymouth Energy Community).

What This Notice Covers 

This notice is for all the help our Energy Team provides — whether you: 

  • Speak to us for quick advice,
  • Work with us on more complex problems,
  • Use our website tools,
  • Visit our shopfront,
  • Or get help to improve your home. 

What Information We Collect 

We may collect some or all of this: 

  • Your name and contact details (like phone and address)
  • Details about your home (e.g. insulation, heating, photos, EPC)
  • Who lives with you and what support you need
  • Your income or benefits, if it helps us give the right advice
  • Any health conditions that might be affected by cold or damp
  • What kind of support or upgrades you’ve received
  • We only collect what we need to help you — and we explain why we need it. 

When we carry out surveys, we may take photos of your home to help plan improvements. We try to avoid capturing anything personal, but if you have concerns, let us know and we can review or delete images if needed. 

How We Collect It 

We may get this information when: 

  • You speak to us (by phone, email, or in person),
  • You fill in a form online or on paper,
  • You meet us at an event or in our shopfront,
  • Someone else refers you to us (with your permission),
  • We visit your home or carry out a survey. 

If you speak to us by phone, we will explain how we use your information and ask for verbal consent where needed. We’ll also offer to send you this privacy notice in full. 

How We Use Your Information 

We use your information to help you stay warm, well, and in control of your energy use. This might include: 

  • Giving you advice and support with energy bills or your home,
  • Helping you apply for grants or funding,
  • Working with trusted installers or surveyors to improve your home,
  • Speaking to your landlord or providing emergency items like heated blankets,
  • Connecting you to other services that may be able to help. 

We also use your information to understand how well our service is working, and to report to funders — we remove your name where we can. 

At times, tools are used to automatically check if you’re eligible for grants or to prioritise households most at risk from cold. This helps us reach people who need support most. We can explain how it works or complete a human review if you are concerned.  

We will never sell your information or use it for advertising. We’ll only contact you about other support if you say it’s okay. 

What Gives Us the Right to Use It 

We use your information because: 

  • It helps us give you the support you’ve asked for (our legitimate interest),
  • Sometimes we need to share data to deliver a grant or installation (a contract),
  • If you tell us about your health or vulnerability, we’ll ask for your consent,
  • If a funder like National Grid wants to call you for feedback, we’ll tell you and you can opt out if you’d rather not. 

Who We Share It With 

Depending on the project, we might share your information with: 

  • Plymouth City Council (if they help fund the service),
  • Trusted installers, surveyors, or technical staff,
  • Funders like DESNZ or National Grid (only when needed and with safeguards),
  • Our partner organisations who help us deliver the service. 

If a funder wants to contact you for feedback, we’ll let you know and you can say no at any time.
