Privacy Notice - Members and Supporters

This notice explains how we use the information you give us when you sign up as a supporter or member of Plymouth Energy Community (PEC). 

Who this is for 

• Supporters: people who want to stay in touch and hear what we’re doing.
• Members: people who have formally joined PEC or one of the PEC family organisations. 

What we collect 

We may collect your name, contact details, and your preferences for how we contact you or what updates you want. 

Why we collect it 

• To send you news, updates, or invitations (supporters)
• To manage your membership and keep you informed (members)
• To understand who supports our work 

How we use and protect your information 

We store your data securely using Microsoft Dynamics and may use Mailchimp to send you updates. We don’t share your data with other organisations for marketing. If we must share it for legal reasons (e.g. for membership records), we’ll do so safely. 

How long we keep your information 

• Supporters: we’ll keep your data until you unsubscribe (you can do this any time).
• Members: we’ll keep your data while you’re a member, and up to six years after you leave. You may unsubscribe from newsletters at any time, but we are legally required to contact members about formal matters such as AGMs and statutory notices while your membership is active. If you no longer wish to receive any communications, you will need to resign your membership by contacting us. In very limited circumstances (for example, immediately before an AGM), we may delay processing a resignation until after statutory duties have been fulfilled. 

Your choices and rights 

You can: 

• Ask to see your data
• Ask us to correct or delete it
• Unsubscribe or ask us to stop contacting you (Supporters can do this directly via the Mailchimp unsubscribe link. Members can unsubscribe from newsletters via Mailchimp, but must resign their membership separately if they no longer wish to receive statutory notices.)
