Volunteers - Using your personal information

This document outlines how PEC Trust will process your data when you join us as a volunteer or PEC Pal. PEC Trust (trading as Plymouth Energy Community) delivers these programs. They are delivered in partnership with grant funders that include but are not exclusive to The National Lottery, Plymouth City Council, Energy Saving Trust Energy Redress Funds, National Grid Energy Distribution (formerly known as Western Power Distribution), Wales & West Utilities and Devon Community Foundation. 

What sort of information do we collect?  

We collect and process the following information: 

Type of Information 

Information to identify and contact you 

Examples include: Name, address, phone number, email, date of birth etc 

Information for equality and diversity purposes 

 Examples include: Age, gender, religion etc.  

Information to understand specific vulnerabilities or disabilities 

Examples include:  Health conditions or disabilities that help us make sure activities are accessible, where possible  

Information about PEC services and products you receive  

Examples include: Feedback on sessions for evaluation purposes, consultation on future plans or services 

Information on PEC services you would like to receive because of your interaction with the Energy Team. 

Examples include: Details about your home’s structure, occupancy, tenure, surveyor reports  

Information to understand your households’ vulnerability to fuel poverty and affiliations or roles that give access to grants  

Examples include: Personal or household income or savings, any benefits received, history of armed services employment, caring roles  

 

How do we collect your information? 

Most of the information we process about you comes from you, or from others you have given permission to act on your behalf. Specifically, we collect information from: 

  • Our online ‘get in touch’ forms
  • In person at events
  • Microsoft forms
  • Feedback forms
  • Phone conversations
  • Emails 

If you go on to engage with our other services, we may also receive personal information indirectly. You can find individual Privacy Notices related to each area of PEC Trust’s services here (insert hyperlink?) 

How do we use your information? 

We use the information you have given us to: 

  • design programs of activity
  • evaluate the service you have received
  • inform you of PEC Pals events you may wish to attend
  • report to project funders
  • provide advice about energy issues you identify
  • inform you of other programs or funding that may be able to help you in the future. 

With your agreement we may share your information with: 

  • project funders
  • individuals volunteering for PEC or taking part in a PEC Pals project
  • third party professionals delivering the program in which you take part
  • individuals with legal rights or permission from you to represent you. 

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are: 

  • Legitimate interest – our volunteer programs exist to provide opportunities for more Plymouth households to engage in energy, fuel poverty and climate action. It allows us to support carbon reduction and work towards a city with more affordably, warm homes. Processing your data is necessary for us to fulfil most of the purposes outlined above.
  • Contractual obligation – if you proceed to access a grant or simple measures, PEC may have a contractual obligation with the grant supplier and/or the installer to provide sufficient information to enable you to access the upgrade with minimal administration on your part.
  • Consent – We will always ask for your consent for the following processing of data
  • Processing sensitive personal information such as health conditions for all purposes outlined above
  • Keeping in touch with you about grants and services available to help you to upgrade the energy performance of your home.
