Privacy Notice - Events

Plymouth Energy Community (PEC) refers to a group of organisations working together to tackle fuel poverty and the climate crisis in Plymouth. This notice explains how the organisations in the PEC family collect and use your information at public events we run or help deliver. 

What We Collect 

At events, we may collect: 

• Your name and contact details (if you give them),
• Feedback or survey responses,
• Basic demographic information (like postcode, age range),
• Dietary or access requirements if you’ve told us about them,
• Photographs or video taken at the event (unless you opt out). 

We collect information at events to help us understand who we’re reaching, make our events more inclusive, and improve what we offer. We also use this information to stay in touch with you if you’ve asked us to, and to help show the impact of our work. 

We use legitimate interest to record attendance, collect anonymous feedback, and understand who our events are reaching, so we can improve and show impact. 

We use consent when taking photos, keeping in touch after the event, or sharing your information outside PEC. You can say no or change your mind at any time. 

Sensitive Data 

If you tell us about a dietary need or mobility requirement, this may count as sensitive personal data. We treat this with extra care and only use it to help make our events accessible and inclusive. We won’t record detailed health conditions. 

Photos and Filming 

We may take photos or film to promote our work in reports, social media, or on our website. If this is happening at your event, we will make this clear. You can always opt out — just let a member of staff know. 

Sharing Your Data 

We only use your information within PEC unless we’ve clearly explained otherwise. If we ever need to share your data (e.g. with a funder), we’ll ask for your permission. 

Your Rights 

You can ask us to: 

• Stop contacting you,
• Remove or update your information,
• Delete a photo of you or withdraw consent.

Who We Are 

Plymouth Energy Community (PEC) is a family of community organisations working together to empower our community to create a fair, affordable, zero carbon energy system with local people at its heart. This privacy notice covers events being delivered by any organisations in the PEC Family. Unless clearly expressed otherwise, the event will be held by PEC Trust.  

The following are the full list of legal organisations in the family that hold events: 

• PEC Trust – our main charity delivering most of our day to day activity 
• PEC Renewables Ltd and Ernesettle Community Solar Ltd – our community-owned solar companies.
